How we work
- Discovery. We start with your goals, venue, audience and budget, and tell you what level of production the event needs.
- Planning. We build the run of show, cue sheets and technical specs, and coordinate with the AV provider and venue so everyone works from the same document.
- Rehearsal. We run tech checks and rehearsals with presenters, so walk-ins, transitions and media cues are tested before doors open.
- Show call. On show day we show call, keeping each segment on time, and solve technical issues before the audience notices.
- Strike. We manage load-out with the crew and venue and close out with your vendors.

FAQs
What does a show caller do on event day?
The show caller runs the program from headset. They call every audio, video, lighting and stage cue, keep each segment on time, and adjust when a speaker runs long or a video won’t play. The crew and the venue take direction from one person.
What is the difference between an event planner and an event producer?
A planner handles the venue, vendors, catering, budget and guest experience. A producer handles the technical and creative execution: AV, staging, lighting, streaming and show flow. Tree-Fan Events does both. If you already have a planner, we work alongside them. If you don’t, we can cover planning too.
How much does event production cost?
It depends on the size of the event, the format (in person, hybrid or virtual), the technical requirements and the number of show days. Start with a free 20-minute call and we’ll give you a realistic budget range.
Do you work with the venue's in-house AV team?
Yes. Most venues have in-house AV or a preferred provider. We coordinate with them from the first planning call through strike, so the run of show, cue sheets and technical specs are the same for everyone.
Can AI improve event production?
Yes. On the production side, AI helps with run of show drafts, cue sheet updates, transcription, captioning and post-event reporting.
